Role map and preparation

Copy these worksheets into your text editor or print them. Use the real advertisement and your own facts; blanks identify information to clarify. The example is fictional and does not advertise employment.

Practice advertisement

Operations assistant — fictional example. Organize incoming requests, check data and repeated messages, communicate outstanding issues and route exceptions to the lead. The role uses an internal system and spreadsheets. Hours, pay, contractual arrangement, onboarding and priority criteria are unspecified.

Possible evidence from Maíra

Question or gap

Check data and repeated messages

Compared identifiers during a shift with 20 records and 16 unique requests.

Which data and criteria does the system use?

Route exceptions

Confirmed criteria with the lead and handed over seven requests with context.

What can this person decide independently?

Communicate outstanding issues

Left every request with an owner at shift change.

How are follow-ups and deadlines tracked?

Use an internal system

Has experience with a different support system.

Does not know this product; how does onboarding work?

Use spreadsheets

No evidence is provided in this case.

Which operations are required? Prepare a genuine demonstration if relevant.

Do not fill the last row by inventing formula experience. An identified gap supports a useful question and a concrete learning need.

How to verify / ask

The site says it serves small retailers.

A researched fact in the example.

Ask which requests reach the role.

There may be night shifts.

Assumption; absent from the advertisement.

Confirm hours and coverage.

I do not know the internal system.

Personal gap.

Ask about required operations and learning support.

Confirm the process

  • [ ] I know the date, time, time zone, location or platform.
  • [ ] I understand the stage, participants and approximate duration.
  • [ ] I asked about exercises, presentations and permitted resources where necessary.
  • [ ] I have a contact for problems.
  • [ ] I requested any participation adjustment I need.
  • [ ] I know which essential conditions still need clarification.

Adaptable message: “Thank you for the invitation. Could you confirm the approximate duration and whether an exercise or presentation is involved? If so, which materials or tools may I consult?” Use the real process’s channel only when that information is missing.

Personal conditions to compare

Record questions about hours, location, pay, start date and support. Separate preferences from essential conditions. Private information unrelated to work is unnecessary.

Consult the explanations below as needed to complete the worksheet.

Turn the job description into work questions

Job descriptions mix responsibilities, requirements and vague phrases. Separate what the person will do, what they must know initially and what remains unclear. “Good communication” is broad; “explain delays to customers and record handoffs” describes actual work.

Our fictional operations-assistant role involves organizing requests, checking data, communicating pending issues and routing exceptions. “I’m organized” is less useful than explaining how you avoid losing a request. School or volunteer experience may demonstrate part of this without being relabeled as employment.

Build two columns: requirement → your example or a question. Record unfamiliar tools as gaps. Do not automatically treat every desirable item as disqualifying, or claim mastery of an essential requirement you lack.

Confirm the format and assessment

Screening may check availability and basic requirements; a manager conversation may examine decisions; a demonstration may ask you to solve a problem. Formats overlap. Calling a meeting a “chat” does not mean it is unassessed.

Confirm date, time zone, approximate duration, participants, platform or address, and any exercise. Ask: “Could you confirm whether there will be a presentation or practical task, and what materials I may consult?” You need not guess the rules for notes, research or AI.

In a panel, answer the question and include participants naturally. In a group task, listening and building on another person’s idea may be more useful than monopolizing airtime. Prepare for the expected work rather than a universal ideal-candidate performance.

Explain every claim on your resume

Review the resume you submitted, not just your newest version. For each experience, recall context, your contribution and what you can demonstrate. “Intermediate Excel” should become concrete examples of filters, formulas or reports you actually used, including limitations.

If you wrote “coordinated,” explain who decided, who executed and how you followed progress. If you helped with one stage, describe that stage. A work sample can support the discussion when you have permission and remove client or colleague information.

Correct a meaningful error plainly: “I’d like to clarify my resume: I contributed to the project, but I did not own the whole delivery.” Aligning scope is better than inventing another claim to support the first. For application preparation, consult the resume guide.

Prepare participation needs and personal boundaries

Describe a needed adjustment concretely: written instructions, an accessible location, captions, or clarity about duration and breaks. Confirm what the recruiter can arrange. Your professional introduction need not become a detailed medical history.

For a question that seems unrelated to the role, try: “Could you explain how that relates to the work? I can discuss my availability for the stated schedule.” This redirects to an observable requirement without inventing personal information.

Laws and procedures vary by country and situation; this course does not classify every question as lawful or unlawful. For a discrimination concern, keep a written account and seek appropriate local advice. Nervousness, accent, use of support or a different way of making eye contact does not by itself define job competence.

Prepare a role map

Read the vacancy and identify concrete responsibilities. Match each to a personal experience or a gap. “Organizing requests” could connect to checking an event-registration list; identify it as a school project if that was the context. Transferable skills do not make two roles identical.

Research what the employer provides and prepare a role-related question. Separate site facts from assumptions. Confirm format, date, time zone, platform or location and any exercise; ask which references and tools are permitted. If participation requires an adjustment, describe the necessary resource through the process’s contact channel.

Keep the submitted resume version, a contact for problems and your essential conditions available. The preparation workbook includes a filled example and space for your own. The aim is knowing what to demonstrate and ask, not memorizing a company speech.
